What is included
- HIPAA-eligible call tracking under BAA
- Call recording with consent notices
- Grading of every ad call
- Missed-call text-back with no health details
- Front-desk coaching notes
- Phone scripts for implant cost questions
Call tracking runs on a vendor that signs a BAA.
Recordings can contain patient information, so the call-tracking platform must be HIPAA-eligible and sign a Business Associate Agreement with your practice.
Calls are graded into five outcomes.
New patient booked, not booked, missed, existing patient and spam. The Monday Scorecard uses these grades, not raw call counts.
Missed calls get a text back, with no health details.
A caller who hits voicemail gets a short text inviting them to book, so the new patient does not call the next practice.
Missed calls are the biggest leak.
In one vendor study, 38% of dental calls in business hours went unanswered.1 Coaching notes target exactly those calls.
Mistakes we fix
- Counting every call as a new patient
- Call recordings stored with a vendor that has no BAA
- Tracking numbers replacing the number on your Google Business Profile
- Nobody listening to the recordings
Flat fee, month to month. See what each plan includes.
Call tracking & front-desk grading: common questions
- Who listens to the calls?
- Every ad call is transcribed and graded. A person reviews the flagged calls and writes the coaching notes.
- Will tracking numbers hurt my local rankings?
- Not when set up properly. Your main number stays on your Google Business Profile, and tracking numbers show only to ad visitors.
- Do you need access to patient records?
- No. Call grading works from the recordings in your call-tracking account. PMS imports use IDs, not health details.
